Our Approach
HAPT Lab, LLC ("we", "us" or "the Company") handles personal information in accordance with the Act on the Protection of Personal Information of Japan ("APPI") and other applicable laws, regulations and guidelines.
We collect personal information only to the extent necessary to provide our services — not simply because it is available to us. Information we do collect is used solely within the purposes set out in this policy.
Information We Collect
We may collect the following categories of information.
- Information you provide
- Name, email address, company or organization name, portfolio and other URLs, the role applied for, and the content of your enquiry, as entered into our contact and careers forms.
- Information collected through use
- IP address, browser type and version, referrer, access timestamps and pages viewed — recorded automatically to keep the website stable and secure.
- Information from our products
- Our products may capture sensor data such as swing measurements. This is processed on the device wherever possible and converted into statistical, non-identifying form before being used to improve quality.
- Information from third parties
- Information lawfully provided by business partners or recruitment agencies. In such cases we confirm that the information was obtained by proper means.
We do not collect special care-required personal information — such as beliefs, medical history or criminal record — except where required by law.
How We Use Information
We use the personal information we collect for the following purposes.
- Responding to and following up on your enquiries
- Conducting recruitment, communicating outcomes, and arranging onboarding
- Providing, maintaining, protecting and improving our products and services
- Sending news about new features and products, where you have consented
- Detecting and preventing unauthorized access, misuse and other improper activity
- Analyzing usage in aggregate to guide service improvements and new development
- Responding to requirements under law, guidelines or requests from public authorities
Where we wish to use personal information beyond these purposes, we will obtain your consent in advance, except where the law permits otherwise.
Disclosure to Third Parties
We do not disclose personal information to third parties without your prior consent, except in the following cases.
- Where required or permitted by law
- Where necessary to protect a person's life, body or property, and consent is difficult to obtain
- Where particularly necessary for public health or the sound upbringing of children, and consent is difficult to obtain
- Where cooperation is needed for a national or local government body carrying out duties prescribed by law
Personal information may also transfer as part of a merger, corporate split, business transfer or similar event, in which case it remains subject to the purposes established before the transfer.
Service Providers
We may entrust all or part of the handling of personal information to external providers to the extent necessary to achieve the purposes above. These include email delivery platforms, website hosting providers and analytics services.
We select providers that maintain appropriate data-handling practices, impose confidentiality and security obligations by contract, and exercise the necessary supervision over them.
Cross-Border Transfers
Some cloud services we rely on operate on servers located outside Japan. Where this is the case, we assess the data-protection regime of the relevant country and confirm on an ongoing basis that the recipient maintains safeguards meeting the standards required by the APPI.
If you would like details of a specific cross-border transfer, please contact us using the details at the end of this policy.
Security Measures
We take the following measures to prevent the leakage, loss or damage of personal information.
- Organizational: appointing a person responsible for personal data and reviewing handling practices regularly
- Personnel: providing regular staff training and setting out clear confidentiality obligations
- Physical: managing devices and storage media to prevent theft or loss
- Technical: encrypting data in transit, applying least-privilege access, and protecting against unauthorized access
In the event of a data breach, we will promptly investigate the facts and, as required by law, report to the Personal Information Protection Commission and notify affected individuals.
Retention
We retain personal information only for as long as needed to fulfil the purposes described above, after which it is deleted or anonymized without undue delay — except where a retention period is prescribed by law.
Recruitment information may be kept for a limited period after a process closes so that we can tell you about future openings. If you would prefer we did not, tell us and we will delete it promptly.
Your Rights
You may make the following requests in respect of the personal data we hold about you.
- To be notified of the purpose of use
- To be given disclosure of your retained personal data
- To have inaccurate data corrected, added to or deleted
- To have use, deletion or disclosure to third parties suspended
We will verify that a request comes from you or your authorized representative, and will respond without undue delay except where the law provides otherwise.
Changes to This Policy
We may revise this policy in response to changes in law, in our business, or in other circumstances. Where a change is material, we will give notice on this website or by other appropriate means.
The revised policy takes effect from the time it is posted on this website.
